The Administrative Assistant II in the Revenue and Utilities Section provides the opportunity to be part of a highly engaged and collaborative team, with great camaraderie. This position is best for someone who likes variety, where you’ll perform new and interesting work daily. This position supports attorneys in the Motor Vehicle and Enforcement Unit, and assists the Office Manager with providing clerical and administrative support to all employees in the Revenue & Utilities Section.

The DOL is currently offering a sign-on bonus for new Administrative Assistant hires of $1,000.
Sign-On bonuses will be paid based on the following timeline:
$500.00 – Time of hire
$500.00 – 12 months after hire
  

This position is open only to Colorado state residents.

WHAT YOU WILL DO

The Administrative Assistant II provides general administrative support to attorneys and works with a paralegal in the Revenue and Utilities Section, Motor Vehicle & Enforcement unit. This may include, but is not limited to the following:

  • organizes and indexes legal documents;
  • assists paralegals and attorneys with all aspects of preparing for trial and administrative hearings including arranging for document production and preparing exhibits and trial notebooks;
  • generates and mails correspondence and other documents by using MS Office programs;
  • maintains electronic trial and deposition calendars;
  • maintains case status reports, calendars pertinent information and assists with other electronic data management;
  • creates, organizes and closes case files;
  • hand delivers documents to courts or clients and retrieves hard copies from client;
  • works with a paralegal to coordinate the DUI process service for the unit with guidance from the attorney by reviewing the legal document received, notifying District Attorney offices, and tracking cases;
  • communicates case status with DOL attorneys;
  • works with a paralegal to coordinate logistics for virtual and in-person meetings and depositions for unit; and
  • sorts and distributes mail for the Section.

Salary note: Although a salary range is listed, salary will be set commensurate with the successful candidate’s qualifications and in compliance with the Equal Pay for Equal Work Act.

This job posting may be used to fill multiple Administrative Assistant II positions at the DOL.

WHAT WE ARE LOOKING FOR
 
Minimum Qualifications: 

  • Requires two years of experience providing general clerical, administrative, or office support as the main function of your job.

Substitutions

  • 30 semester hours (or equivalent) of university or college course work from an accredited institution may be substituted for one of the two years of administrative assistant/office clerical support experience.
  • Qualified applicants must have at least one year of administrative assistant/office clerical support experience. If qualifying under the substitution, you will be required to provide a copy of your transcripts. 

Note: Candidates possessing a foreign degree must submit a translation (evaluation) of their degree from an accredited institution, such as The National Association of Credential Evaluations Services in order to be given credit for the degree.

Required Competencies: 

  • Proficiency in MS Office, including Word, Excel, and Outlook
  • Organizational skills, including the ability to plan and prioritize tasks
  • Demonstrated attention to detail to ensure accuracy, thoroughness, and consistency of all work product
  • Strong interpersonal skills and ability to work collaboratively on a team

Preferred Qualifications: 

  • Strong administrative support skills including the ability to solve problems proactively
  • General clerical experience in a law office, court system, or other legal setting
  • Experience supporting attorneys with the litigation process, including assembling documents and exhibits for pleadings/court filings and organizing case files
  • Experience with electronic case management systems/databases and with the e-filing process
  • Customer service focus
  • Strong communication skills

Conditions of Employment:

  • Applicants must pass a thorough background investigation prior to appointment.
  • This position will initially be working in office, with the opportunity/option to work remotely part of the week upon a proven track record and supervisor approval.
  • Effective August 15, 2022, this position will require documented proof of full COVID-19 vaccination.
