Information about the Job:
This position serves in the Office of the Attorney General, the highest level in the organization, of the Department of Law by providing executive level support to the Chief Operating Officer and the Chief Deputy Attorney General which includes serving as the initial point of contact regarding any questions that arise, managing multiple complex calendars, coordinating travel logistics, and utilizing various software to organize and track information.
Additionally, this position will manage the administrative operations of the office including supervising, training, and mentoring the administrative assistants in the reception area. Additional office management duties include creating, reviewing, and implementing office operation procedures, updating desk manuals and training materials, ordering office supplies, and managing budget records and accountability for the unit.
Minimum Qualifications: Please document all relevant experience in detail on your application. Experience will not be inferred or assumed. Any part-time experience listed will be prorated.
Four years of professional experience performing complex and confidential administrative and/or office management work. This must include experience coordinating travel logistics, advanced Microsoft Office (Outlook, Excel, Word, etc.) skills, and experience managing multiple complex calendars/ schedules.
- Of the four years of experience, one year must also include formal supervision of administrative staff, including managing workload assignments, training staff, and overseeing staff performance.
An Associate’s or Bachelor’s degree from an accredited college or university in business, public administration, or closely related field may substitute for the general experience on a year-for-year basis. There is NO substitution for the one year of experience of formal supervision of administrative staff, including managing workload assignments, training staff, and overseeing staff performance.
Note: Candidates possessing a foreign degree must submit a translation (evaluation) of their degree from an accredited institution, such as The National Association of Credential Evaluations Services in order to be given credit for the degree.
Preferred Qualifications: In addition to the minimum qualifications, the preferred applicant will also demonstrate and clearly describe the following skills and experience in their job application:
- Experience providing high level executive support;
- Experience providing administrative or office management support in a public service organization or government agency;
- Experience managing a budget, including maintaining records, tracking budget, and reconciling expenses;
- Experience working in a legal setting (e.g. legal office, court, etc.);
- Experience creating, reviewing, and implementing office operation procedures in order to optimize workflow and streamline processes.
