WHAT YOU WILL DO
The Data Management Specialist position will serve as one of the administrators, trainers, and daily, first level support team members for the ProLaw case/matter data management system. The position manages the data in the case/matter management system including ensuring data security, ensuring data integrity, maintaining the overall data system, ensuring standardized system operational processes, and generating related reporting for Department of Law (DOL).

In this position, you will have the opportunity to:

  • Serve as application first-level support for the case/matter management system, which includes configuring user accounts, establishing security rights for users and accounts to ensure data security within the case/matter management system;
  • Assure data integrity by developing processes for system input and monitoring users for compliance;
  • Receive business process information from DOL legal staff and incorporate updates and changes as they occur to ensure the optimized performance of the database;
  • Develop and maintain end-user documentation as it pertains to the DOL’s use and configuration of the ProLaw system;
  • Train all new users in proper use of the case management system according to the user’s position/job duties; provide group training to legal team members or to individuals regarding case/matter management system; educate staff on if/how other applications used at the DOL interact or connect with the case management system and how those tools will increase efficiency;
  • Generate on-demand reports from existing menu of reports, and generate reports from other sources for a wide variety of DOL team members;
  • Validate and test data generated from the case/matter management system; and
  • Ensure the ProLaw system is operating correctly utilizing complex problem-solving and troubleshooting skills; coordinate, and test data system upgrades; analyze system enhancements in test environment, then implement in production environment to ensure the system will function properly and data integrity will be maintained following upgrades.

Salary note:  Although a salary range is listed, salary will be set commensurate with the successful candidate’s qualifications and in compliance with the Equal Pay for Equal Work Act.

Salary ranges: 
Data Management II – $48,396- $66,000/ year
Data Management III- $56,028- $75,000, FLSA exempt

This recruitment may be used to fill multiple Data Management Specialist positions in the Administration section.

WHAT WE ARE LOOKING FOR
We are currently recruiting for a Data Management professional at either the Data Management II or Data Management III level. Classification will be determined by the candidates experience and qualifications (minimum and preferred).

Minimum Qualifications: Please document all relevant experience in detail on your application. Experience will not be inferred or assumed. Any part-time experience listed will be prorated. 

For the Data Management II position:

  • Five years of professional experience in data management as the primary function of your job. Data management experience must include data analytics, understanding data integrity, and maintaining data security.

OR

  • A Bachelor’s degree from an accredited institution in a field of study related to the assignment AND one (1) year of professional experience in data management as the primary function of your job. Data management experience must include data analytics, understanding data integrity, and maintaining data security.

OR

  • A Master’s degree from an accredited institution in computer science, data analytics, or other directly related field of study.

For the Data Management III position: 

  • Six years of professional experience in data management as the primary function of your job. Data management experience must include data analytics, understanding data integrity, and maintaining data security.

OR

  • A Bachelor’s degree from an accredited institution in a field of study related to the assignment AND two (2) years of professional experience in data management as the primary function of your job. Data management experience must include data analytics, understanding data integrity, and maintaining data security.

OR

  • A Master’s degree from an accredited institution in computer science, data analytics, or other directly related field of study AND one (1) year of professional experience in data management as the primary function of your job. Data management experience must include data analytics, understanding data integrity, and maintaining data security.

Note: Candidates possessing a foreign degree must submit a translation (evaluation) of their degree from an accredited institution, such as The National Association of Credential Evaluations Services in order to be given credit for the degree.

Required Competencies: Proficiency with MS Office applications including Outlook, Word, and Excel.

Preferred Qualifications: In addition to the minimum qualifications, if you possess any of the following specifically include the details on your application, as this information will be used to assess your qualifications and may be used to determine a top group of applicants.

  • Ability to quickly learn ProLaw or other case/matter management database
  • Experience providing training and explaining technical information to end-users, orally and in writing
  • Knowledge and experience with business process analysis and getting reports to meet end-user needs
  • Ability to learn quickly, transfer skills and knowledge to current environment
  • Strong organizational skills
  • Customer service skills in an IT/technical role

In addition to the qualifications above, at the Data Management III level, our ideal candidate will also have most of the following:

  • Data case management experience (i.e., legal case management, medical case management, etc.)
  • Experience creating reports from various data sources to meet end-user[SC1]  needs
  • Broad knowledge and experience with data management, and data structure including:
    • Knowledge and experience with maintaining data integrity, data security;
    • Knowledge of relational database principles and practices;
    • Knowledge and experience with managing system upgrades/system enhancements;
  • Knowledge and experience with business process analysis and getting reports to meet end-user needs
  • Experience using SQL to extract data and report writing
  • Experience using Excel and/or data analytics programs using advanced formulas, charts, and graphs and/or accessing databases using SQL or similar programming language.
  • Gather requirements, design, and implement technical reports, as requested, in response to inquiries from DOL team members,
