WHAT YOU WILL DO
The Administrative Assistant II provides administrative and legal support services for attorneys and paralegals within the Natural Resources and Environment Section which provides legal representation for Colorado Parks and Wildlife and the State Land Board. The position effectively and efficiently performs general support activities, ensures that urgent matters are promptly referred to the appropriate attorney or paralegal and creates and produces correspondence, legal documents, and reports through the use of various MS Office applications.
Primary duties and responsibilities include, but are not limited to, the following:
- Proofread documents and court filings
- Perform document management, archiving legal cases and projects
- overseeing all scheduling of appointments and conference rooms
- Calendar attorney and legal assistant activities
- Determine information to be obtained from client agencies, and creates, maintains and closes files
- Obtain and distribute the information necessary to support the functioning of the office by communicating via fax, telephone, correspondence, or in person with courts, clients, the public, other governmental agencies, and other sections within the office
- Appropriately communicates with the public, client agencies, attorneys, legislators, and reporters.
- Advise other work unit members in appropriate water court practices when necessary.
- Docket upcoming trials, deadlines for pleading and conference calls for attorneys.
- Maintains confidentiality of privileged information
- This position may also perform other related duties as assigned
This position will primarily be working in office, with the occasional option to work remotely.
This recruitment may be used to fill multiple Administrative Assistant positions in the Natural Resources and Environment Section. This recruitment may be used to fill other Administrative Assistant II positions in the Department of Law.
Salary note: Although a salary range is listed, salary will be set commensurate with the successful candidate’s qualifications and in compliance with the Equal Pay for Equal Work Act.
Salary will be paid on a biweekly basis.
Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights
WHAT WE ARE LOOKING FOR
Minimum Qualifications and Substitutions: Please document all relevant experience in detail on your application. Experience will not be inferred or assumed. Any part-time experience listed will be prorated.
Minimum qualifications are:
- Two years of experience providing administrative/clerical support in a professional office setting as the main function of your job.
OR
- 30 semester hours (or equivalent) of university or college course work from an accredited institution may be substituted for one of the two years of administrative assistant/office clerical support experience.
- Qualified applicants must have at least one year of administrative assistant/office clerical support experience. If qualifying under the substitution, you will be required to provide a copy of your transcripts.
Note: Candidates possessing a foreign degree must submit a translation (evaluation) of their degree from an accredited institution, such as The National Association of Credential Evaluations Services in order to be given credit for the degree.
Required Competencies:
- Proficiency with Microsoft Office suite
- Effective oral and written communication with internal and external customers
- Strong attention to detail and organization skills

- Experience providing legal support
- Willingness to learn new processes and develop new skills (including developing knowledge and skill of qualifications listed here).
- Strong communication skills.
- Experience with the E-filing process
- Experience working in a natural resource setting
- Experience using SharePoint
- Experience working with document management systems, case management systems, and document review systems
- Experience with MS products
- Experience using ProLaw
- Strong technical acumen
Conditions of Employment:
- Applicants must pass a thorough background investigation prior to appointment.
- Work schedule is Monday through Friday, from 8 am to 5 pm.
- Flexible work arrangement is an option; this position requires work to be performed in office three days per week with one Friday per month.
- Colorado Department of Law participates in E-Verify and will provide the federal government with your Form I-9 information to confirm that you are authorized to work in the U.S.
Appeal Rights:
If you receive notice that you have been eliminated from consideration for this position, you may file an appeal with the State Personnel Board or request a review by the State Personnel Director.
An appeal or review must be submitted on the official appeal form, signed by you or your representative. This form must be delivered to the State Personnel Board by email, US Mail, faxed or hand delivered within ten (10) calendar days from your receipt of notice or acknowledgement of the department’s action.
