Description of Job

The State Services Section provides legal representation to 8 of 16 executive branch agencies including the departments of Human Services, Education, Higher Education, Personnel and Administration, Labor and Employment, Local Affairs, Health Care Policy and Financing, and Public Health and Environment; as well as the 5 statewide elected public officials, Judicial Department, and Public Utilities Commission.

WHAT YOU WILL DO
There are two (2) immediate vacancies within the following units of the State Services Section:

Administrative Assistant II (Human Services)

This position exists to provide administrative support to the Human Services Unit’s attorneys, paralegals and unit administrator. The Human Services Unit represents the Colorado Department of Human Services, the Colorado Department of Early Childhood, and the Behavioral Health Administration.

Specific tasks for this position include creating, producing, and proofreading correspondence, reports, and other documents; archiving files; properly directing telephone calls from the public and visitors; compiling information for reports; scheduling and arranging meetings, conference rooms, and conference calls; efficiently processing mail and distributing on a daily basis; faxing and scanning documents; assisting with travel arrangements and scheduling state fleet cars; maintaining desk manual for specific duties; providing backup for other support staff in the Section during times of heavy work load or when another administrative assistant is out of the office.

Administrative Assistant II (Health Care) / Part-Time

 Key responsibilities include, but are not limited to, the following:

•Administrative Support

•Prepare, proofread, and format correspondence, reports, pleadings, and other legal documents
 •Process, sort, and distribute incoming pleadings, correspondence, and mail; prepare outgoing and overnight deliveries
 •Schedule and arrange meetings, conference rooms, conference calls, and travel (including reserving fleet cars)
 •Greet and assist visitors; properly direct inquiries from the public and opposing counsel
 •Provide backup coverage for other administrative staff during absences or heavy workloads

•Case Management

•Open, maintain, and organize case files; close and archive case records in accordance with retention policies
 •File pleadings with federal, state, county, and administrative courts (electronically and in person)
 •Assist with scheduling depositions, case management meetings, and tracking deadlines
 •Generate spreadsheets, order reports, and obtain requested documents from research databases, client agencies, or legal libraries

•Litigation and Trial Preparation

•Assemble trial notebooks and prepare exhibits for hearings or trials
 •Coordinate duplication, scanning, redaction, and document production with internal support services and outside vendors
 •Assist with discovery and CORA document production requests
 •Proofread and edit litigation materials and correspondence

•Additional Duties

•Maintain desk manuals, calendars, and other unit systems
•Support special projects and administrative initiatives as assigned

This recruitment may be used to fill other Administrative Assistant II positions in the Department of Law.

Salary note: Although a salary range is listed, salary will be set commensurate with the successful candidate’s qualifications and in compliance with the Equal Pay for Equal Work Act.

MINIMUM QUALIFICATIONS: Please document all relevant experience in detail on your application. Experience will not be inferred or assumed. Any part-time experience listed will be prorated.

Experience Only:
Two (2) years of general clerical/office support experience as the primary function of the job.

OR 

Education and Experience:
A combination of related education and/or relevant experience in general clerical/office support as the primary function of the job equal to two (2) years.

If qualifying under the substitution, you will be required to provide a copy of your transcripts at the time of application.

Note: Candidates possessing a foreign degree must submit a translation (evaluation) of their degree from an accredited institution, such as The National Association of Credential Evaluations Services in order to be given credit for the degree.

 

Preferred Qualifications: In addition to the minimum qualifications, if you possess any of the following specifically include the details on your application, as this information will be used to assess your qualifications and may be used to determine a top group of applicants.

  • Prior experience in a healthcare, human services related, legal, or customer-focused office environment
  • High technical aptitude and demonstrated ability to learn and use internal databases, billing systems, and/or scheduling tools
  • Experience working with technology and various systems, including MS Office
  • Experience organizing documents and electronic file systems, including spreadsheets and databases
  • Strong critical thinking and problem-solving skills, with a track record of resolving issues and balancing multiple systems
  •  Experience working under competing priorities and adapting to shifting deadlines
  •  Experience processing electronic documents, reports, and/or financial/billing records
  • Excellent customer service skills, with the ability to communicate complex information in simple, accessible terms
  • Strong written and verbal communication skills for internal and external stakeholders
  • Outstanding organizational skills, with experience creating procedures, workbooks, and/or process guides
  • Strong attention to detail, including accuracy in billing, data entry, and/or documentation

 

Required Competencies:

  • Requires proficiency with MS Office applications (Word, Excel, Outlook, etc.)
  • Requires discretion and the ability to maintain a high level of confidentiality
  • Requires familiarity with and comfort using technology (databases, systems, and/or spreadsheets, etc.)
  • Requires outstanding organizational skills and demonstrated strong interpersonal skills (team collaboration, training colleagues, and/or customer interaction, etc.)

 

Conditions of Employment:

  • Applicants must pass a thorough background investigation prior to appointment.

  • The State Services Section offers flexible work arrangements. Employees are expected to work at least three (3) days per week in office. Please note, flexible work arrangements may change at any time based on business needs.

Appeal Rights:
An applicant who has been removed from an employment list or removed from consideration during the selection process may request a review by the State Personnel Director.

As an applicant directly affected by the results of the selection or comparative analysis process, you may file a written appeal with the State Personnel Director.

Review of the completed, signed and submitted appeal will be timely on the basis of written material submitted by you, using the official appeal form signed by you or your representative. This form must be completed and delivered to the State Personnel Board by email at dpa_state.personnelboard@state.co.us within ten (10) calendar days from your receipt of notice or acknowledgement of the Department’s action.
